ABOUT THIS ROLE
As a bilingual event coordinator, your primary responsibility is to leverage your strategic organizational skills to see our projects and events through to fruition. Your key tasks involve managing the allocation of resources and timelines for specific events, guaranteeing that all deliverables not only meet client expectations but also uphold high-quality standards. Success in this role hinges on your ability to take the initiative, adeptly handle challenging timelines, oversee resource planning, and ensure top-notch project execution on behalf of our clients.
WHAT YOU’LL DO
Event Planning

Identifying the purpose of the event and setting clear objectives.

Researching and choosing suitable venues that align with the event's objectives and budget.

Overseeing the logistics, including scheduling, staffing, and equipment needs.
Communication
-
Keeping clients informed about event progress and changes.
-
Communicating with vendors, suppliers, and internal teams.

Providing event details to attendees.
-
Sharing event schedules and milestones.
-
Handling crisis communication when issues arise.
-
Updating stakeholders on marketing and promotion strategies.
-
Documenting all communication for reference and accountability.
-
Ability to adapt to the needs and dynamics of each individual and group.

Proficiency in both Spanish and English, with the ability to switch seamlessly between the two languages as needed.
Marketing and Promotion

Developing marketing plans that encompass advertising, public relations, and social media to generate interest and attendance.

Assist with the distribution of marketing collateral like posters, flyers, and other promotional items.
Attendee Management
-
Setting up registration systems for attendees.
-
Providing information to attendees, addressing inquiries, and offering support for any special requirements.
Transportation Logistics
-
Assessing the need for transportation, whether it's for team members, equipment, or materials.

Creating transportation schedules and determining efficient routes to minimize travel time.
Equipment and Material Logistics
-
Coordinating the movement of event-related equipment, signage, and promotional materials.

Ensuring equipment and materials arrive on time for setup and are efficiently removed after the event.

Being prepared to address unexpected issues, such as vehicle breakdowns or delays.
QUALIFICATIONS
-
1-3 years experience as an event coordinator or in a related field.

Experience with project management responsibilities, workflow, and best practices.

Strong analytical organizational skills.

Excellent written and verbal communication skills.

Experience with project management software preferred, (Workamajig, Advantage, and/or Monday.com a plus).

Effective time management skills and the ability to meet deadlines.

Able to give and receive constructive feedback.
-
Spanish speaking is a requirement.
COMPENSATION
Based on experience, this is a contractor position *hours can vary*.
SCHEDULE
Monday to Sunday, and some holidays.
Must be able to work on the field. This is a requirement.
